1. Who we are

This website is run by SmartTag Solutions Limited, a company registered in England and Wales (company number 17281851). Our registered office is 12 Oaks Way, Ketley, Telford, TF1 5FQ.

We are the data controller for the personal information described in this policy. If you have any questions about it, email us at [email protected].

2. What we collect

We only collect what you choose to send us:

• Contact form: your name, email address, company, job title, phone number (if you add it), what you're interested in and your message.
• Emails: anything you include when you email us directly, including demo requests.

When you visit the site, our hosting provider also records standard technical information, such as your IP address, browser type and the pages you view. We use this, in summary form, to keep the site secure and to see how many people visit and which pages they read. It is not used to identify you.

We use Cloudflare Web Analytics to count visits and see which pages are read. It doesn't use cookies, doesn't track you across other websites and doesn't identify you.

3. How we use it

• To reply to your enquiry and arrange a demo or quote.
• If you become a customer, to set up and support the services you've asked for.
• To keep the website running, secure and working well.

We rely on our legitimate interests in answering enquiries and running our business. Where you ask us for a quote or a service, we also rely on taking steps at your request before entering into a contract. We don't send marketing emails, and we never sell or rent your information.

4. Who we share it with

We use a small number of trusted providers to run this website and handle email:

• Cloudflare, which hosts this website and passes contact form messages on to our email.
• IONOS, our email provider, which sends the contact form messages to us and stores the emails we send and receive.

Some of these providers may process information outside the UK, including in the United States. Where that happens, they use safeguards approved under UK data protection law, such as the UK International Data Transfer Addendum or the UK Extension to the EU-US Data Privacy Framework. We will only share information with anyone else where the law requires it.

5. How long we keep it

We keep enquiries for up to 2 years after our last contact with you, so we have a record of what was discussed. If you become a customer, we keep your business contact details for as long as you're a customer and for up to 6 years afterwards for accounting and legal purposes. We then delete them.

6. Cookies

This website does not set cookies and does not use advertising or tracking tools. Visitor numbers are counted by our hosting provider on its servers, without cookies.

7. Your rights

You have the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct anything that's wrong;
• ask us to delete your information;
• object to, or ask us to restrict, how we use it;
• ask us to move your information to another organisation.

To use any of these rights, email [email protected]. We'll reply within one month.

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

8. Our customers' systems

This policy covers this website only. Information held in the SmartTag QR tag system or the SmartTag CMMS on behalf of our customers is covered by our agreement with each customer.

9. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
